Terms of Entry for Artist
Legal terms artists must agree to for submission

ENTRY TERMS AND CONDITIONS

ARTWORK ELIGIBILITY CRITERIA
Originality Requirements:
• Artwork must solely be the creation of the submitting artist
• Artwork must be original in conception, composition, and implementation
• No kits, copies, collaborative works, or workshop pieces will be accepted
• No replicas, giclée reproductions, or any modified, copied, or imitated art will be accepted
• Quality of creation and design should be consistent with fine art exhibition standards
Content Requirements:
• Work must relate to or be inspired by New Hanover County's historical narrative
• Must attach a brief artist statement (3-5 sentences) explaining how your artwork connects to New Hanover County history
Example Artist Statement:
'My painting "Guardian" depicts the earthwork fortifications of Fort Fisher through layered glazes that suggest both strength and erosion. The piece explores how this Confederate stronghold protected the Port of Wilmington during the Civil War while also reflecting on how time and nature have transformed these defensive structures into a site of reflection and remembrance. The weathered texture in the work mirrors the physical deterioration of the earthworks themselves.'

Technical Specifications for 2D Artwork:
• Must be ready for hanging on display panels with wire and D-rings
• Weight must not exceed 15 pounds due to hanging system limitations
• Canvas must be gallery wrapped (1.5 inch panel minimum) or framed; 3/4 inch canvas that is NOT framed will not be accepted. Maximum 15lb.
• Must be durable enough to withstand handling and movement
Photography & Printmaking:
• Photography, lithographs, and woodcut prints must be from limited editions or 1/1 special editions
• No open edition or mass-printed items will be accepted

Technical Specifications for 3D Artwork:
• Will be displayed on tables or display columns
• Artwork requiring individual easels will not be accepted
• Must be stable and durable enough for exhibition handling. Maximum 30lb

Submission Standards:
• No wet paintings or incomplete work will be accepted
• Application must be completed accurately as information will be used for exhibition labels, promotional materials, and catalogs

EXHIBITION RULES
Installation & Handling:
• Artists may not hang, place, or move any artwork
• Exhibition team will handle all installation with utmost care and professionalism
• Artwork that does not meet outlined criteria or is not ready for display will be refused, removed, or returned
• Work may be refused at check-in if it does not meet specifications
Liability:
• The Island Arts Council and exhibition partners reserve the right to refuse artwork entries
• Organizations cannot be held liable for any damage or loss
• Artists must abide by prospectus, rules, entry terms and conditions, and all guidelines
Sales Commitments:
• If artwork sells within two weeks of exhibition opening as a result of exposure at the show, 25% commission is due to the Island Arts Council
• After registration, if art sells prior to exhibition opening, the piece is committed to display as SOLD and will be subject to 25% commission
Extended Display Opportunity:
• Select artworks may be chosen for continued display at Fort Fisher State Historic Site following the exhibition
• Selection and timeframe will be determined by the Fort Fisher Site Director
• Commission terms apply to any sales resulting from extended display
Commitment Requirements:
• All entries must be for sale
• Commission pieces are not allowed
• Art must remain in exhibition until sold or designated pickup time
• Artist must have sole ownership over the artwork
• Artist or designee must deliver artwork to designated location on July 29 or 30, 2026
• Shipped artwork may be arranged by contacting the Island Arts Council; artist must include return shipping materials
• If artwork is not sold, it will be returned in original packaging
Rights & Permissions:
• Echoes of Place allows photographs to be taken during the exhibition
• The juror's decision on acceptance is final
• The Island Arts Council and exhibition partners maintain rights to use photographs of artwork and the event for marketing and promotional materials
• Artwork will be featured on social media to promote the exhibition and participating artists
• Application information will be used for exhibition materials; please complete accurately
• Prices may not be changed once submitted
• If artwork sells after acceptance but prior to exhibition opening, the artist agrees that the piece must still be displayed as SOLD and commission terms apply
Agreement:
• By submitting entry and payment, artist agrees to all terms and conditions outlined in this prospectus

SALES TERMS
Pricing & Commission:
• Artist is committed to sale price(s) listed upon registration
• 25% commission will be retained by the Island Arts Council on all sales
• Sales tax will be paid by the Island Arts Council
• Prices are final once submitted and may not be changed

INSURANCE AND LIABILITY
Artists are responsible for their own insurance coverage. All accepted artists will be required to sign a hold harmless agreement acknowledging that:
• Artists carry their own insurance for their artwork during transport, exhibition, and return
• The Island Arts Council and Fort Fisher State Historic Site are held harmless from any loss, damage, or theft
• Artists assume all risk for their artwork while in the exhibition
